Delete Contacts and Their Data

:::danger Data cascade warning Deleting a contact also deletes its associated conversations, notes, tasks, and activity history. This associated data cannot be recovered even if the contact record itself is later restored. Export or archive any important information before you delete. :::

Deleted contact records can be restored within 60 days. After that window closes, the record is gone permanently.

Only Admin users can delete contacts.

When a contact is deleted, the following are also removed:

  • Conversations
  • Notes
  • Tasks
  • Appointments
  • Opportunities
  • Manual actions
  • Activity history
  • Community group ownership (if applicable)

Active campaigns and workflows for the contact are stopped at the time of deletion.

The Contacts list showing checkboxes selected on contact rows with the bulk action bar revealing the Delete option

  1. Navigate to Contacts in the main menu.
  2. Check the box next to each contact you want to delete. To select all visible contacts on the current page, use the checkbox in the column header. To select all contacts in the account, use the “select all” option that appears after checking the header box.
  3. Click the Delete button in the action bar.
  4. In the confirmation dialog, type DELETE and click the delete button to confirm.

The same process above works for any number of contacts. Select as many as needed, click Delete, and confirm. Be careful when selecting all contacts — this removes every record in the account.

For recurring cleanup — removing unsubscribed, inactive, or invalid contacts — use a workflow instead of manual selection.

  1. Go to Automations → Workflows and create a new workflow.
  2. Add a trigger appropriate to your use case, such as Contact Tag (e.g., a tag named “Unsubscribed” or “Inactive”).
  3. Add the Delete Contact action to the workflow.
  4. Test the workflow on a non-critical contact before activating it.
  5. Activate the workflow.

If a contact was deleted by mistake, you have up to 60 days to restore the record.

  1. Navigate to Contacts.
  2. Click the menu beside the Add Contact button and select Restore.
  3. Locate the deleted contact and click Restore.

The contact record is restored, but conversations, notes, tasks, and activity history are not recovered.

  • Export the contact to a CSV as a backup if any information might be needed later.
  • Check for open opportunities or appointments tied to the contact and reassign or close them.
  • Download any files or signed documents attached to the contact record.
  • Confirm with your team that nobody is actively working with the contact.
